GrowMyAcademy – Terms of Service

These Terms of Service (“Terms”) govern your use of the GrowMyAcademy service and all related services delivered by Oakitu Ltd (Company No: 13135285) (“we”, “us”, “our”).

By purchasing a subscription or retainer, you (“Client”, “you”, “your”) agree to these Terms. Parts of the service may be supported by trusted third-party platforms such as Stripe and GoHighLevel.


1. Scope of Work

GrowMyAcademy provides a done-for-you weekly media system for private football academies.

Services are delivered on a monthly retainer basis and are designed to run consistently week-to-week rather than as one-off projects.

Deliverables are defined by system capacity, not hours worked, and unused capacity does not roll over between billing periods.

Retainer Packages:

Elite Retainer – £850/month

Includes:

Weekly filming (up to 1 session per week, max 2 hours)

3 edited videos per week:

1 cinematic highlight

2 coach-led / interview / storytelling videos

Custom Instagram cover graphics for each video

Private WhatsApp Media Group

Weekly delivery (Friday–Sunday)

1 photo shoot per month (for social media, graphics, and sharing)

Pro Retainer – £1200/month

Includes everything in the Elite Retainer, plus:

5 edited videos per week:

1 cinematic highlight

Multi Location Filming

4 coach-led / interview / testimonial / storytelling videos

Social media management (posting, scheduling, stories and captioning using supplied brand direction)

Increased editing volume and content output

1 photo shoot per month

Both packages are limited to a small number of academies per region to maintain quality and consistency.


2. Weekly Filming & Scheduling

All retainer clients are guaranteed one filming session per week.

Filming sessions are up to 2 hours.

Sessions are scheduled week-by-week based on academy availability and assigned videographer availability.

Filming days may vary week to week (typically Tuesday–Friday).

Filming does not occur on fixed days unless explicitly agreed in writing.

GrowMyAcademy may attend different sessions within a month (training, matches, camps, etc.) to allow for better creative variety in editing.

Multiple Academy Locations

Each retainer covers filming at one primary academy location.

For academies operating across multiple locations:

The Elite Retainer (£850) includes filming at the primary location for up to 3 sessions per month, with 1 session per month available for an alternative location if required (subject to scheduling and travel feasibility).

Regular rotation between multiple locations is not included in the Elite Retainer.

Academies requiring frequent location rotation or coverage across multiple sites are advised to upgrade to the Pro Retainer (£1200) or agree a custom arrangement in writing. Any additional locations or travel requirements must be approved in advance.

GrowMyAcademy does not guarantee specific filming days or times unless agreed in writing.


3. New Client Delivery Buffer

To ensure consistent quality and workflow stability:

New clients start with a one-week content buffer.

Content from the first filming session is delivered the following week (Friday–Sunday), not the same week.

After the initial buffer, content is delivered weekly on an ongoing basis.

This buffer allows GrowMyAcademy to maintain consistent weekly delivery without delays.


4. Payment Terms

All retainers are billed automatically via Stripe on a monthly subscription basis.

Payments recur every 30 days from the original subscription date.

Cancellation & Pause

There are no long-term contracts.

Clients may cancel or pause at any time with at least 7 days’ notice before the next billing date.

No refunds are issued for partial months or unused sessions once a billing cycle has started.

Missed or unused sessions do not carry over to future billing periods.

This ensures filming slots, videographer availability, and editing resources are fairly reserved.


5. Travel Policy

GrowMyAcademy operates nationally using a local videographer model where possible.

If a local videographer is assigned, travel is typically included.

If additional travel is required, it is charged at £0.35 per mile (round trip) or agreed as a flat fee in advance.

Any travel charges are confirmed before filming.


6. Delivery Timelines

Weekly content is delivered Friday–Sunday.

Delivery timelines apply after the initial new-client buffer week.

Photo sets are delivered alongside video content or within 5 business days.

Urgent or out-of-scope turnaround requests may incur additional fees.

Same-day or next-day delivery is not included in any retainer unless agreed in advance.


7. Revisions Policy

Each video includes up to 2 rounds of revisions.

Revisions include:

Minor clip swaps

Timing adjustments

Text changes

Colour or audio tweaks

Major creative changes (new concepts, music changes, restructuring, or style changes) are treated as new edits and may be quoted separately.

GrowMyAcademy reserves the right to determine what qualifies as a revision.


8. Content Rights & Usage

Final edited videos and photos belong to the client once the billing period is fully paid.

GrowMyAcademy retains the right to use finished work for portfolio, marketing, and promotional purposes unless agreed otherwise in writing.

Raw footage remains the intellectual property of GrowMyAcademy and is not provided unless a separate buyout agreement is made.

Ownership applies only to final delivered content and does not include project files or working timelines.


9. Client Responsibilities

Clients agree to:

Provide clear communication regarding filming access and session details.

Ensure appropriate staff supervision during filming.

Obtain all necessary parental and safeguarding permissions.

Provide feedback within a reasonable timeframe (ideally within 48 hours).

Delays in communication may extend delivery timelines.


10. Safeguarding & DBS

All filming crew hold valid Enhanced DBS certification.

Filming involving minors must be supervised by academy staff.

GrowMyAcademy follows CPSU and NSPCC safeguarding standards for third-party media providers.

Footage Storage, Security & Data Handling

As GrowMyAcademy works with academies involving minors, we take data protection and safeguarding seriously.

Raw footage is transferred securely between videographers and the GrowMyAcademy editing team using private, access-restricted cloud storage.

Raw footage stored on cloud platforms is retained for a maximum of 7 days for editing purposes only, after which it is permanently deleted.

Edited and selected raw footage may be temporarily stored on password-protected physical hard drives for up to 60 days to allow for content continuity in the event of missed filming sessions.

After this period, all stored footage is permanently deleted unless otherwise agreed in writing.

Footage is only accessible to authorised GrowMyAcademy team members and is never shared with third parties.

GrowMyAcademy does not act as a long-term storage or archiving service.

Client Storage Responsibility

Once final content has been delivered (via Frame.io), it is the client’s responsibility to download and securely store their content.

GrowMyAcademy is not responsible for long-term storage of raw or edited footage beyond the stated retention periods. Delivered content is retained for a maximum of 14 days.

Clients are encouraged to maintain independent backups of all delivered content.


11. Missed Sessions & Rescheduling

At least 48 hours’ notice is required to reschedule a session.

Cancellations within 24 hours or no-shows may result in the forfeiture of that week’s session.

If GrowMyAcademy cancels due to illness, emergency, or disruption, a replacement session will be arranged.


12. Project Inactivity

After 14 days of no communication, the project may be paused.

After 30 days of inactivity, the retainer may be terminated.

Reactivation may require a new onboarding or admin fee.


13. Conduct & Termination

GrowMyAcademy reserves the right to suspend or terminate services if:

Abusive or unprofessional behaviour occurs

Filming environments are unsafe or unsuitable

No refunds will be issued in such cases.


14. Force Majeure

GrowMyAcademy is not liable for delays caused by circumstances beyond our control, including illness, extreme weather, equipment failure, or venue restrictions. Sessions will be rescheduled where possible.


15. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be handled exclusively in this jurisdiction.
